Digital & Creative Associate

ABOUT THE COMPANY IKAROS Intelligence LLC is an AI consultancy and technology company headquartered in Dubai. Nine service lines span AI strategy, training, public relations, digital advertising, corporate administration, personal assistance, UHNW concierge, technology and innovation, and remote workplace advisory. The company develops IKAROS COMMAND, a managed AI operations platform deployed to enterprise clients. IKAROS Intelligence is the sister company of IKAROS Experiences LLC (formerly IKAROS Events Organizing & Managing LLC), an events and experiences management company operating across the UAE and Saudi Arabia, working with institutional clients on cultural programming, talent booking, and venue operations. THE ROLE The Digital & Creative Associate is the visual voice of IKAROS across all channels. This role owns graphic production, social media presence, brand communications, and content output. You work directly with the Founder, translate strategic direction into visual assets, and maintain the brand system across every touchpoint. This is not a task-following role. You will receive priorities and context. What you produce, how you sequence it, and when you flag opportunities is on you. Performance is measured on improvement and impact, not hours logged. CORE RESPONSIBILITIES Graphic Design & Brand Production • Create social media graphics, proposal layouts, presentation decks, and marketing collateral aligned to IKAROS brand guidelines (black/gold/platinum palette, Montserrat/Inter typography). • Maintain and extend the brand asset library. Adapt templates for new contexts without diluting the system. • Produce event-specific visuals for IKAROS Experiences: talent cards, venue mockups, client-facing proposals. • Format documents, one-pagers, and pitch materials to a standard that signals institutional credibility. Social Media & Content • Plan, create, and schedule content across LinkedIn, Instagram, and other relevant channels for both IKAROS Intelligence and IKAROS Experiences. • Write captions and short-form copy in the IKAROS voice: direct, precise, never decorative. • Track engagement metrics, identify what performs, and adjust content strategy accordingly. • Source and adapt visual content: photography, generated imagery, brand illustrations. Communications & PR Support • Draft newsletters, press announcements, and client communications. • Coordinate with external PR contacts when required. • Maintain a consistent brand voice across all written output. TOOLS & PLATFORMS You will use these daily to receive tasks, collaborate on deliverables, and manage work across IKAROS projects. You must be proficient or willing to become proficient in: • Claude Cowork Projects • Canva, Figma, or Adobe Creative Suite for graphic production. • Google Workspace (Docs, Sheets, Slides, Drive). • Social media scheduling tools (Buffer, Later, or equivalent). • Basic video editing (CapCut, Premiere, or equivalent) is a plus. REQUIREMENTS • Based in the Philippines (Cebu preferred for periodic in-person syncs with the Founder). • Strong portfolio or samples demonstrating visual design ability. • Comfortable working with AI tools and adapting to new workflows quickly. • Written English at a professional standard. No grammar issues in client-facing work. • Self-directed. You identify what needs doing and do it before being asked. • Able to hold a brand system. Consistency matters more than creativity for its own sake. PERFORMANCE FRAMEWORK Your performance is not measured by tasks completed. It is measured by: • Impact: Did the work move something forward? Did engagement grow? Did a proposal land better? • Improvement: Are you better this month than last month? Are the outputs sharper? • Initiative: Did you identify and act on priorities beyond what was assigned? • Reliability: When something was committed, was it delivered on time and at standard? ENGAGEMENT TERMS • 3-month initial engagement, renewed monthly thereafter. • Either party may end the engagement with 10 calendar days written notice. • Schedule: 4 hours/day, 4 days/week. Specific days and hours agreed with the Founder. • Work products created during the engagement are owned by IKAROS Intelligence LLC.

Growth & Operations Associate

The company develops IKAROS COMMAND, a managed AI operations platform deployed to enterprise clients. IKAROS Intelligence is the sister company of IKAROS Experiences LLC (formerly IKAROS Events Organizing & Managing LLC), an events and experiences management company operating across the UAE and Saudi Arabia, working with institutional clients on cultural programming, talent booking, and venue operations. THE ROLE The Growth & Operations Associate is the engine behind business development, client operations, and executive support. This role drives the pipeline from lead identification to closed engagement, manages client relationships post-sale, and keeps the Founder's operational load clear so he can focus on strategy and high-value work. This is not an assistant role in the traditional sense. You are expected to think commercially, prioritize independently, and treat the business pipeline and client relationships as your responsibility. Performance is measured on improvement and impact, not hours logged. CORE RESPONSIBILITIES Research & Lead Generation • Identify and qualify potential clients for IKAROS Intelligence services and IKAROS COMMAND products. • Research target companies, decision-makers, and market opportunities across Asia, and international markets. • Build and maintain prospect lists using Apollo, LinkedIn, web research, and AI tools. Sales & Lead Conversion • Draft personalized outreach messages (email, LinkedIn, WhatsApp) aligned with IKAROS positioning. • Manage the sales pipeline: track conversations, follow up on time, update CRM/tracker. • Support proposal preparation: gather requirements, compile reference materials, coordinate with the Founder on pricing. • Schedule and coordinate sales calls, demos, and client meetings. Client Relations & Account Support • Serve as the first point of contact for ongoing client communications and requests. • Track deliverables, deadlines, and client satisfaction across active engagements. • Prepare client-facing status updates, meeting agendas, and follow-up summaries. • Escalate issues and flag risks to the Founder before they become problems. Executive Assistance & Operations • Manage travel bookings, accommodation, and logistics for the Founder and executive meetings. • Handle calendar coordination, appointment scheduling, and meeting preparation. • Process routine administrative tasks: document filing, invoice tracking, vendor coordination. • Research and prepare briefing documents for meetings, negotiations, and new opportunities. Marketing Support • Support email campaign execution and performance tracking. • Compile market intelligence, competitor updates, and industry news digests. • Assist with event logistics and vendor coordination for IKAROS Experiences projects. TOOLS & PLATFORMS You will use these daily to receive tasks, track progress, and collaborate across IKAROS projects. You must be proficient or willing to become proficient in: Claude Cowork Projects • Google Workspace (Docs, Sheets, Slides, Drive, Gmail, Calendar). • Perplexity, Apollo.io or equivalent prospecting/enrichment tools. • LinkedIn (Sales Navigator experience is a plus). • CRM systems (HubSpot, Pipedrive, or equivalent). • Basic project management (Asana, Notion, or equivalent). REQUIREMENTS • Based in the Philippines (Cebu preferred for periodic in-person syncs with the Founder). • Strong written and naturally spoken English. You will communicate with clients directly. • Comfortable working with AI tools and adapting to new workflows quickly. • Commercially minded. You understand that the goal is revenue and client retention. • Self-directed. You identify what needs doing and do it before being asked. • Detail-oriented with strong organizational skills. Nothing falls through the cracks. • Prior experience in sales support, virtual assistance, or business development is a plus but not required.
